The Heinrich-Böll-Stiftung is a German political foundation affiliated with the German Green Party (Alliance 90/The Greens). Its primary task is political education and advocacy in Germany and abroad. Our main tenets are ecology and sustainability, democracy and human rights, non-violence and justice. In our work, we place particular emphasis on gender democracy, equal rights for minorities and the political and social participation of migrants.

The Finance and Administration Coordinator will be working under the direct supervision of the Director of the Heinrich-Böll-Stiftung's Global Support for Democracy Unit.   

Main responsibilities:

  • Managing the office's finances (programmes, projects, office funds) in compliance with the guidelines of the Heinrich-Böll-Stiftung in Berlin, donors and local legislation and regulations
  • Planning and controlling the budgets for the Unit and programmes (budget and financial plan)
  • Establishing compliance with the internal regulations of the Heinrich-Böll-Stiftung; bringing templates and contracts into line with applicable local laws
  • Coordinating all financial and administrative matters with the headquarters of the Heinrich-Böll-Stiftung in Berlin
  • Responsibility for the Unit’s fund requests and financial reporting for the headquarters of the Heinrich-Böll-Stiftung
  • Preparing the Unit’s monthly, quarterly, and annual financial statements in cooperation with the Head of Finance of the Heinrich-Böll-Stiftung European Union office in Brussels
  • Instructing, supervising and working with programme partners, in consultation with Unit’s Heads of Programme: financial planning and control; compliance with guidelines; reporting finance advice; review, reconcile and monitor all project accounts
  • Technical instructions, capacity building and on-the-job training for financial staff from partner organizations
  • Responsibility for overall Unit’s administration
  • Overall management of all Unit’s contracts and service agreement, including preparation of contracts with partner organisations, external service contracts, auditor, tax consultants, etc.

Other Responsibilities:

  • Assisting the Unit Director in human resources’ management matters
  • Oversight of the Unit’s payroll management
  • Point of contact for financial service providers, auditors, tax consultants, revenue offices, and other external organizations in the administrative field

Our requirements:

  • University degree in business management and administration or comparable qualification with accounting focus
  • Minimum of 3 years professional experience in a senior finance role preferably in the NGO sector
  • Fluency in written and spoken English (German and/or French language skills are an advantage)
  • Keen interest in supporting the Global Support for Democracy Unit’s initiatives on the “future of funding” as integral part of efficient human rights work, and the protection of civic space  
  • Very good knowledge of accounting and of processes and standards of commercial accounting (knowledge in the use of Navision financial software will be an asset)
  • Capability of preparing and carrying out correct annual financial statements
  • Good knowledge of office management/administration in the field of international cooperation
  • Standard computer skills

  • Ability to multi-task, detail oriented
  • Genuine interest in and identification with the values and mission of the Heinrich-Böll-Stiftung

The job location is Brussels, Belgium. The position is full-time (37 hours/week, employment contract).
